Every job in Airo moves through the same five stages, and the colour follows it everywhere: on its card, in the calendar, on the map. Below is one job, #292 at 14 Wattle St, from the first phone call to the completion report and invoice handover.
1New job
Turn an address into a job.
Start typing, choose the matching address and check the details. Airo saves the map pin for later. Agencies you have worked with before are remembered, so jobs group under the right office. The moment you save, the whole team can see it.
2Inspection booked
Say what you saw. Get the report.
Dictate your site notes as a voice note, or type them. Airo drafts the inspection report in a consistent layout for you to review and edit. Add your quote, check the GST and email a branded PDF from the driveway, with your signature.
3Awaiting approval
Quotes don’t go quiet.
Every quote you send starts a clock. After a few quiet days the job flags itself, with the follow-up already written. When the client says yes, one tap moves the job into the queue to be booked. Nothing goes out without you seeing it first.
4Scheduled
Book it where it fits.
Tap a gap in the week, pick the job, confirm the time. Airo warns you about double bookings and knows who is blocked out. Each teammate can subscribe to their Airo calendar in Google or Apple Calendar. Updates can take up to 12 hours to appear.
Still stage 4
See the day before you drive it.
See open jobs as pins in their stage colours, so you can spot nearby work when planning the day. Today’s visits are numbered by booking time.
5Completed
Before, after, invoiced.
Work through the checklist built from your report, add after photos and submit the job. Review the completion report, then attach an invoice from your accounting software if needed. Successfully emailing the report with that attachment marks the job invoiced.
