The Airo field guide

One job.
A clear next step.

Follow a job from the first call to the final handover. Choose a chapter, watch the steps, and come back whenever you need a reminder.

New here? Set up your business

Jobs → New Job

Start with the right details.

One place for the property, the person who asked for the work, and the person you need to arrange access with.

What happens next

The job appears in New job, ready for an inspection booking.

Good to know

An address suggestion helps you type. It does not replace checking the unit, street, suburb and postcode.

Inspection booked → Open job

Turn site notes into a report.

Capture what you find while it is fresh. Your notes, photos and price become a report you can review before it leaves Airo.

What happens next

After a successful report email, the job is ready to follow in Awaiting approval.

Good to know

Airo helps with the writing. You remain the person who checks the facts, scope and price.

Jobs → Awaiting approval

Keep the next step visible.

See which quotes are waiting, follow up when needed, and record the client’s decision before booking the works.

What happens next

Approved work is ready to schedule; approval alone does not choose a date.

Good to know

The follow-up is a draft you control. Airo does not send a chase just because a job has been waiting.

Calendar → Choose a slot

Give the work a place in the week.

Move from an approved quote to a clear booking, with the right person, time and access arrangements.

What happens next

The booking appears in Airo’s calendar and the job moves into Scheduled.

Good to know

An optional Google or Apple calendar subscription is one-way and can take up to 12 hours to refresh. Make booking changes in Airo.

Scheduled → Open job → Submit Job

Finish the work. Show the result.

Keep the evidence and the handover together, from the last checklist item to the report your client receives.

What happens next

The completed job stays in Completed, with its report available to reopen.

Good to know

Completing a job and emailing the client are separate actions. Previewing or saving a PDF does not send it.

A little more detail

Before you send.

A few useful distinctions that keep the handover clear.

Does generating a report send it?

No. Review the report and quote, open the email draft, check the recipient, then send. Generating or downloading a PDF does not email it.

Does a client’s reply automatically approve the quote?

No. Record approval in Airo after the client has agreed to the work, then book it into the calendar.

Is completing a job the same as invoicing it?

No. Submit Job records completion. Review the completion report and attach your invoice PDF when you are ready to email the handover. Check the invoicing state separately.

Where do I change the standard wording?

Go to Settings → Emails for email and tenant-text templates. Settings → Reports holds report-writing guidance and recurring checklist defaults.
