Privacy policy

Last updated 10 October 2026

Airo is job-management software for trade businesses. This policy explains how Airo ("we", "us") handles personal information, in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). If you have a question or a concern, email hello@airojob.com.

Airo is operated by Ryan Rosen (ABN 57 448 186 770), a sole trader based in Sydney, New South Wales. "We" and "us" mean that business.

Who this covers

  • Our customers and their teams: the businesses that subscribe to Airo and the people they invite to use it.
  • People in our customers' jobs: property managers, owners, tenants and other contacts a business records in Airo to do its work. The business decides what it records and is responsible for having the right to record it. We handle that information on the business's behalf and only to provide Airo to them.
  • Visitors to airojob.com and anyone who emails us.

What we collect

  • Account details: name, email address, phone, job title, business name, ABN, logo and business contact details.
  • Job records entered by a business: property addresses, contact names, phone numbers and email addresses, notes, photos, reports, quotes, checklists, bookings and documents such as work orders or invoices.
  • Usage and device information: sign-in records, error reports, and, if you turn on alerts, a notification address for that device.
  • Voice, when someone records a voice note (the Dictate button, available to every user), or uses the Ask Airo voice assistant where we have switched it on for a business at its request: recordings until they are transcribed, and the conversation while it happens.
  • Forwarded work orders: emails and attachments a business sends to its Airo work-order address.
  • Emails you send us, including walkthrough requests.

The marketing website does not use advertising or tracking cookies.

How we use it

  • To provide Airo: storing jobs, generating report drafts, sending the emails and alerts a user asks for, and showing each business only its own information.
  • To support customers, fix problems and keep the service secure.
  • To bill customers and tell them about changes to the service.

We do not sell personal information, and we do not use a business's job records to market to the people in them.

AI features

When a user asks Airo to draft a report, build a checklist, read a work order or answer a question about their jobs, the relevant job notes or document are sent to our AI provider to produce that result. Drafts are shown to the user to review and edit before anything is sent. Our AI providers process this information to return the result and do not use it to train their models under our commercial terms.

Voice. When someone records a voice note, or uses the Ask Airo voice assistant where we have switched it on for a business at its request, what they say is sent to OpenAI to turn it into text or to hold the conversation. Voice notes are saved on the user's device until they are transcribed; the uploaded audio is deleted once the text is back. Ask Airo only changes a job after the user confirms it on screen or by saying yes.

Report style. A business can give Airo a few of its own past reports so that new drafts follow its wording. Those reports are sent to our AI provider to write a short style guide, which the business reads and can edit before it is used. The past reports themselves are not kept; only the style guide is, and names, addresses, prices and phone numbers are kept out of it.

Xero. If a business's owner connects their Xero organisation, Airo creates the invoice for a completed job in that business's own Xero and reads back whether it has been approved or paid. To do that it sends Xero the invoice details (the client's name, and their email and phone if a new contact is added; the job's number and address; the amounts), and looks up the business's contacts, income accounts and tax rates. Airo never emails an invoice to anyone. The owner can disconnect at any time in Airo or in Xero.

Work orders by email. A business can forward work-order emails to its own Airo address. Airo keeps those emails and their attachments for 30 days so the business can review them and turn them into jobs, then deletes them.

Where it's stored, and who helps us

Airo's database and file storage are hosted in Sydney, Australia. Some of the services we use to run Airo are based overseas, mainly in the United States, and may process information there:

ServiceWhat it does for Airo
SupabaseDatabase, sign-in and file storage (Sydney region)
VercelHosts the app and website
AnthropicAI drafting of reports, checklists and work-order details, and answers about a business's jobs
OpenAIVoice notes to text, whenever a user records one; and the Ask Airo voice assistant, only for a business that has asked for it
XeroOnly where a business connects its own Xero: creating invoices and reading whether they are paid
ResendSends the emails users send from Airo
Google Maps PlatformAddress suggestions and maps
SentryError reports, with personal details masked where possible
CloudflareDomain, email forwarding (including receiving forwarded work orders) and encrypted backups of photos and of the database

We choose providers with appropriate security commitments and only give them what they need to do their part.

Keeping it safe

Information is encrypted in transit and at rest. Each business's records are separated at the database level, job photos and documents are private files, and team access can be removed by the business owner at any time. No system is perfectly secure; if a data breach is likely to cause serious harm, we will notify affected customers and the Office of the Australian Information Commissioner as required by law.

How long we keep it

We keep a business's records while it uses Airo. Jobs a business moves to Trash are deleted for good after 30 days. When a business leaves, we provide an export on request and delete its records, including the copies of its photos in our backups, within 90 days, except where we must keep something by law (for example billing records). Database backups roll over within 30 days.

Access and correction

You can ask to see or correct personal information we hold about you by emailing hello@airojob.com. If the information sits in a business's job records, we may refer you to that business, since they control those records. We will respond within 30 days.

Complaints

Email hello@airojob.com and we will reply within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner.

Changes

We will update this page when our practices change and note the date above. For significant changes we will let customers know by email.
